Watchdoc Skyprint - Presentation

Principle

Watchdoc Skyprint is a module of the Watchdoc solution that allows users to print on shared printing devices by sending their print requests by email to a dedicated address.

Users already registered in one of the organisation's directories can use Skyprint without any prior steps.
Unregistered users can use Skyprint:

  • either by having been previously registered in WSC (Guests database) by an administrator;

  • by sending their print request to the dedicated email address, if instant creation is authorised by the administrator and the user's email address meets the configured acceptance criteria

When the user is authorised to use Skyprint (and is therefore registered in one of the directories), if Watchdoc is operating in ‘validation’ mode, the user receives a code (PIN or PUK*) by email that allows them to unlock their print jobs on the printing device.

Uses Cases

Skyprint meets a variety of printing needs.

  • User registered in the directory

    An employee of the organisation is working remotely. He is preparing for a meeting that he is due to chair the following day.

    As an employee, he has an account in the organisation's directory and knows the dedicated Skyprint email address.

    Furthermore, as Watchdoc is in ‘validation’ mode, they have a code (PUK/PIN) to securely unlock their print jobs.

    From home, they email Skyprint the documents to be distributed to the meeting participants.

    Back at work the next morning, they securely unlock their print jobs before heading to their meeting.

  • Guest previously registered in the Guests database
    A university is organising a conference on its premises. Speakers and participants are asked to register in advance.

    The Skyprint administrator uses the registration data to register guests in the WSC Guests database. In addition, they configure Skyprint to accept email addresses from participants to whom they provide the dedicated Skyprint email address. On the day of the conference, guests can send their print requests to the dedicated Skyprint email address and collect their prints from the university's MFPs.

  • Authorised non-registered guest - automatic account creation
    An organisation has several branches. Each branch has its own directory. The Skyprint administrator authorises employees from all branches to use the Skyprint service. To do this, they have:

    • configured the conditions for accepting emails: authorisation given to addresses belonging to the domains of the various branches;

    • enabled automatic account creation.

    When travelling to an agency other than the one to which they are assigned, an employee sends their print requests to the dedicated Skyprint email address. Their email address is accepted and their account is therefore created automatically.

    They can retrieve their prints from the device at the agency they are visiting.

For security reasons, we advise against using the PUK code.
